The Workforce Management (WFM) module offers a flexible and effective labour scheduling toolset that can optimise scheduling drivers by location and by week, unique to individual trading/business activities.

No need for hardcoded algorithms; this tool can adapt to your business as it changes. Multi-currency support for hours, costs, supporting NI, holiday and sickness costs. Key KPIs are based on labour match, cost of sale and productivity objectives. 

Availability to work - The Availability to Work function enables employees to highlight when and where they are available to work, creating a personalised employee record detailing typical working/shift patterns, skills, willingness to work extra, etc. The module is an excellent tool for both full and part-time employees wishing to highlight their availability for additional hours.

Labour cost % - The labour cost percentage of a business is its overall payroll amount relative to its gross sales. This module provides the ability to track labour cost as a percentage or present it as a monetary value, hours or both, helping ensure you’re not spending too much or too little.

Costed Schedules - The costed schedules functionality allows tracking labour costs in monetary value, hours or both.

Shift Swapping - Shift swapping allows the management team to quickly swap colleagues’ shifts for a day or weeks. If schedule rules are set up, this will also warn if this swap has triggered WTD alerts – for example, under 18-year-old swapping with an over 18-year-old may trigger under 18-year-old break rules. Once the schedule is re-published after the swap, the colleagues will also see that the shifts have been changed.

Base Rotas - Base rotas can be built for each individual and/or location, acting as a simple reusable rota template. Multiple base rotas can be created to reflect different trading models/events and then adjusted to suit. An employee may have up to four base rotas (for example, ‘working this Saturday and off the next’), and these can be set to repeat or be selectable via a copy schedule function

Labour match - The Labour match module matches workload and staffing to meet the needs of the customer, ensuring all tasks and service levels are maintained.

Optimised Breaks - This functionality optimises breaks and schedules per the Rest breaks at work directives, which is particularly important where young workers are concerned.

Schedule Publication - Schedule Publication provides a simple distribution mechanism for schedules/rotas by site and employee.

Labour budget - The labour budget module allows management/users to see how much money they have to spend on labour. Labour budgets can be viewed in costs, hours or both.

Labour Modelling - Labour modelling uses sales units/values in 15-minute increments to create the ideal labour schedule. Real-time information can be used to highlight the changing needs for optimum manning.

Shift Picker - The Shift Picker functionality provides ideal shifts to the location or store to simplify and ease the creation of either base rotas or weekly schedules.

View my Schedule - View My Schedule allows colleagues to have visibility of their schedules as soon as the management team have finished and published them. In addition, it will show the shift detail entered by the management team – Service/Click & Collect/Delivery etc. This allows them to get straight to their relevant task even if their manager is tied up with other activities when they start their shift. Their schedule also details if they have an absence booked or if they have been scheduled to work in a different location (so that they can ensure they have everything they need to work in that location etc.).

Fixed/Variable Hours - The WFM applications use fixed and variable hours to create ‘bottom-up labour requirements and include Standard Hours, Constant Hours, Minimum Manning, Variable per Item, Standard Minute Values, Productivity Factor, Items per Man Hour, Case Rates, Sales per Worked Hour, Relaxation Allowance, Work Measurement, Worked Hours and Paid Hours.

Sales Forecasting - The Sales Forecasting functionality provides the ability to hold and display updated sales forecasts as they change throughout the year.

Vacancy Swap - The vacancy-swapping function allows the management team to schedule the ideal shifts for new employees before their start date (or even before selecting their perfect candidate). Then, once they have started, the manager can simply swap the vacancies shifts to the new starter. New colleagues can access their schedules for the coming weeks from day one and clock in to keep timesheets accurate. A great engaging welcome to the team!

Skills Matching - The Skills Matching function shows users where they have skill deficits at different times of the day. For example, is a first-aider scheduled on Wednesday afternoon, or is a duty manager scheduled on a particular day.
